Refund policy

This policy applies to paid UX friction detection engagements with Systemmeshline (workshops, audits, hesitation reviews, and monitoring retainers). This site does not sell physical products or run online checkout.
Eligibility
Refunds are considered when work has not started, when we cancel an engagement we cannot deliver, or when a written statement of work explicitly allows a refund window. Deposits may be partially refundable depending on preparation already completed.
Timeframe
Requests should be emailed to hello@systemmeshline.digital within 7 days of the billing date for unused prepaid work, or within 48 hours of a scheduled workshop if you need to cancel before preparation begins.
Full and partial refunds
- Full refund — if we cancel, or if you cancel before any preparation (data intake, agenda drafting, or analysis) has started.
- Partial refund — if preparation has started but deliverables are incomplete; we deduct reasonable hours already spent at the agreed rate.
- No refund — for completed audits, delivered workshop summaries, finished hesitation reviews, or retainer months already delivered.
Non-refundable items
Third-party costs approved in writing (venue fees, specialized tooling licenses purchased for your project) are non-refundable once incurred. Time already spent reviewing your extracts is billed and not refundable.
Refund process and method
Email us with your invoice reference and reason. We confirm eligibility within 5 business days. Approved refunds return via the original payment method within 10–15 business days after approval.
Cancellation and rescheduling
Workshops may be rescheduled once without fee if you give at least 3 business days’ notice. Later changes may incur a rescheduling fee covering facilitator and prep time already reserved.
Deposits and no-shows
A deposit may be required to hold a workshop date. No-shows without notice forfeit the deposit. Remaining balance invoices follow the statement of work.
Work already started
Once analysis or facilitation has begun, fees for completed portions are due. You receive any interim notes produced to that point.
Retainers
Monthly monitoring retainers may be cancelled anytime before the next billing cycle. The current month is not refunded once the monthly pack or briefing has been delivered or scheduled by mutual agreement.
